The same 10-number, 1,000-minute month costs $30 at AvidTrak and $212 at Ringba on published rates, a 7x spread for identical calls.

At CTM, numbers and minutes add $60 to a $65 plan, so usage decides most of the bill.

Invoca's tracked median works out to 77 times the cheapest published setup in the same scenario.

Call tracking cost comes down to three lines on one invoice: a platform fee, a monthly charge for every tracking number, and a rate for each inbound call, billed by the minute or by the answered call. Published platform fees run from $0 on Nimbata's Entry plan to $1,999 a month for CTM Enterprise.

The same small-business month, 10 tracking numbers and 1,000 local minutes, prices between $30 and $212 across seven published rate cards. Invoca, which publishes none, sits at a $27,880 median annual contract on Vendr, or $2,323 a month.

This report reads call tracking pricing off each vendor's own pricing page and usage table, checked on 1 October 2026: CallRail, CTM (formerly CallTrackingMetrics), WhatConverts, Nimbata, CallScaler, AvidTrak, Ringba, Invoca and Salestrail, with Twilio's carrier rates as the floor underneath them.

It's written for marketing teams, agencies and local services businesses buying a first tracking platform, and for sales teams and small businesses whose invoice landed above the plan fee they signed up for.

The devil's in the details. Usage costs, add ons for AI call summaries, and HIPAA or CRM gates move the bill, and the sections below price each one.

Monthly call tracking pricing for a small business

The scenario is 10 local tracking numbers and 300 answered inbound calls averaging 3 minutes 20 seconds, so 1,000 local minutes, with no toll-free lines.

Each vendor sits on its cheapest plan that attributes calls to their source, at the annual rate where the vendor prints one, with every published usage rate applied. Nimbata's row uses Pro, its first plan with dynamic number insertion, and CallRail's row uses the monthly fee, since its yearly discount is stated as "up to 10%."

Twilio's raw carrier charge for the same month is $11.50 for 10 numbers at $1.15 each and $8.50 for 1,000 inbound minutes, $20 in all. That buys phone lines with zero dashboard, call recording or attribution. Recording is metered on two cards, at $0.005 a minute on CallScaler and $0.01 on Ringba, which adds $5 and $10 to those rows.

Read between the lines of every plan billed "+ usage." AvidTrak lands cheapest because its $30 plan bundles 10 numbers and 1,500 minutes of calls. Ringba lands highest of the published cards because it's built for pay-per-call networks, with ring trees, real-time bidding and ping/post call trading in the plan a plumber pays for and never opens.

Billing units change which calls cost the most, and every unanswered call is a sales opportunity the dashboard should flag. A business answering 300 inbound calls a month on Nimbata Pro pays $0.06 per answered call on top of $3.20 per number, so a 20-minute quote call and a 40-second wrong number cost the same.

How call tracking pricing works

Most tracking software combines two or three billing units on one invoice. CallRail's billing support page lists the monthly bill as "your base platform fee, active phone numbers, minutes, voicemail and call transcriptions, and text messages" used in the cycle. Paying a platform fee plus metered usage is par for the course across call tracking tools, and CRM sync, analytics and support tiers sit on top.

Per number: what tracking numbers cost

Every campaign, keyword or listing you want to separate needs its own number so the tracking platform can identify which campaigns drove which calls, and dynamic number insertion needs a pool of them. CallScaler describes dynamic number insertion as showing "a unique number to each website visitor" so calls tie back to the campaigns, ads or keywords that sent them.

A local number costs $0.50 to $4.60 a month on the cards below, and a toll-free number $2 to $5.

Per minute: call volume and duration

Per-minute billing ties the bill to how many calls arrive and how long each one runs. Local minutes cost $0.04 at CTM for forwarded calls, $0.045 at WhatConverts and CallScaler, $0.055 on Ringba Business, and 5 or 6 cents at CallRail, whose pricing page prints both rates in two separate tables. Toll-free minutes run $0.055 to $0.08.

Per answered call

Nimbata charges "one flat rate per answered call, no matter the duration," from $0.10 on Entry down to $0.03 on Agency for US local numbers. Its FAQ argues that rivals "include usage costs such as per-minute charges, or other 'hidden' fees," and its pricing page claims teams waste 30 to 60% on per-minute fees, a figure Nimbata publishes without a method.

Per user and personalized pricing

Sales-side tools price by seat. Aloware, call center software built for contact center and sales teams, starts at $30 per user a month with a 10-user minimum, so the floor is $300. Salestrail offers personalized pricing: buyers "Enter your team size and CRM in use to get personalized pricing," and annual billing takes 20% off.

CTM runs the opposite way, with unlimited users on every self-serve plan. For a sales team of 10 sales reps, team size changes the bill at Aloware and Salestrail and leaves CTM's flat fee where it was.

Call tracking software pricing, vendor by vendor

CallRail

CallRail sells four plans at $50, $95, $150 and $195 a month: Lead Tracking, Lead Tracking Complete, Lead Conversion and Lead Conversion Complete. Each includes 5 numbers, 250 minutes and 25 texts, and a yearly plan saves "up to 10%." The 14-day trial period takes no credit card.

Past the allowance, a local number costs $3, a toll-free number $5, a toll-free minute $0.08 and a text $0.03. The local minute reads $0.05 in one rate table and $0.06 in the other, leaving the page at sixes and sevens, the same two-figures-on-one-domain problem this site logged in its software pricing errors report. Usage fees "are not refundable under any circumstances," per the same page.

Two add ons sit outside the plans. Voice Assist, CallRail's AI answering service, starts at $95 a month and bills $1 a call after 50 calls over 15 seconds. API access for CRM and data syncs is free to 1,500 calls a month, then $80 a month to 12,000 and $200 to 300,000.

CTM

CTM's self-serve ladder runs $65, $149 and $274 a month billed yearly, or $79, $179 and $329 billed monthly, with usage on top: $2 per local number, $0.04 per forwarded local minute, $3 per toll-free number, $0.031 per outbound minute and $0.016 per text.

New accounts pay $0 in plan fees for the first month, with usage billed from day one. Number availability outside the US carries paperwork, since CTM warns that "Additional documentation may be required to obtain phone numbers outside of the U.S."

Marketing Lite covers standard call recording, forwarding and IVR routing with unlimited users, and syncs call data to Google Ads and GA4. Every plan gets the knowledge base, training center and ticket support.

Marketing Pro adds 3,000 transcribed minutes, AskAI call analysis, triggers that automate follow-up texts and Google Ads conversions, HIPAA compliance and live phone and chat support. Keep an eye on those minutes, which CTM says are "free until stated limit is reached, and do not renew each month," so transcription moves to $0.02 a minute once a sub-account burns through them.

Sales Engage at $274 adds VoiceAI at $0.12 a minute with 60 minutes included per agent, a softphone, advanced skills and weight-based routing, lead management for outbound teams, and real-time dashboards.

The top plan starts at $1,999 a month with volume-based usage pricing, a dedicated account management team, Premium Plus technical support, up to 20 hours of professional services a year, and the ability to restore data from indefinite version history. CTM ranks on this site's call intelligence software ranking at $1,788 a year for Marketing Pro.

WhatConverts

WhatConverts charges $30, $60, $100 and $160 a month for a single company, each plan with a $30 usage credit. The credit covers up to 148 phone call leads before metering starts at $2.50 per local number, 4.5 cents per local minute, 2 cents per transcribed minute and 3 cents per text.

The tiers gate capabilities, and the usage rates stay identical. Pro at $100 adds call flows, a report builder and HIPAA. Elite at $160 adds customer journey reporting, multi-click attribution and lead intelligence. Agencies pay $500, $800 or $1,250 a month for unlimited accounts, with $250 to $400 of credit and cheaper usage, and white label costs $50 a month on top.

Nimbata

Nimbata's four plans cost $0, $35, $80 and $120 a month billed annually, or $39, $89 and $149 billed monthly for the paid three. Everything else is usage. A US local number costs $4.60 a month on Entry and $1.60 on Agency, and an answered call $0.10 down to $0.03.

Toll-free lines fly under the radar until the invoice arrives at $0.48 per answered call on Entry, 4.8 times the local rate. Extra seats cost $5 a month, extra projects $15, white label $55, and pre-call workflows $0.01 per call. Caller name lookup comes on every plan. Geo routing, caller ID masking and the dashboard builder start on Marketing, while Salesforce, the API and webhooks unlock only on Agency, alongside dedicated support.

Nimbata's pricing page credits Service24 with 4.5x pipeline growth and quotes Skyleads' founder: "When clients question lead quality, I just play the call recording."

CallScaler

CallScaler sells local numbers at $0.50 a month, below Twilio's own $1.15 list price for the same US number. Pro costs $45 a month on annual billing, Agency $130 and Pay Per Call $400, all with the same usage: $0.045 a local minute, $2 per toll-free number, $0.02 per text, $0.005 a minute for advanced call recording, and AI transcription with lead scoring at $0.006 per 15 seconds.

AvidTrak

AvidTrak prices for the US and Canada at $15, $30 and $55 a month, with 5, 10 and 30 local numbers, 500, 1,500 and 2,500 minutes, and the same count of call recording minutes included. Overage is tiered: a local minute costs $0.07 on Starter, $0.06 on Professional and $0.05 on Agency, and every extra number costs $2. Its feature list names custom dashboards, call scoring, keyword flagging and Google Analytics 4 among its capabilities.

Ringba

Ringba is a pay-per-call platform with a call tracking price list, and its feature list adds predictive routing, ring trees and ping/post call trading. Business costs $147 a month billed monthly or $127 billed annually, Professional $297 or $197, and Enterprise is custom, with a dedicated CSM.

Usage runs $0.055 a local minute, $3 a local number, $0.01 per minute of call recording, $0.04 a transcribed minute and $0.15 per Instant Caller Profile pull on Business, each a little lower on Professional. The page warns that "Summarization, sentiment analysis, conversion detection, and other services may incur additional costs." Ring trees past five a month cost $100 each, and TCPA Shield is available on every tier "for an additional fee."

Invoca

Invoca publishes no rate card, so buyers contact sales for a quote, the same route CTM's and Ringba's top plans take.

Vendr says call volume is "the primary pricing driver" and lists multiple industries: healthcare, automotive, home services, insurance and financial services, with marketing, sales and contact center teams as the buyers and Genesys, Five9 and Talkdesk among the contact center integrations. It tracks a $27,880 median contract from $16,500 to $158,503.

The same page's editorial comparison puts typical mid-market Invoca spend at $80,000 to $150,000, and even the low end is 2.9 times its own tracked median. For a team buying plain call tracking, Invoca can cost an arm and a leg, and the call intelligence ranking linked above lists its Signal AI conversation analytics, redaction and Salesforce sync as add-ons on every tier.

Salestrail

Salestrail tracks calls from sales reps' mobile phones into the CRM, so customer calls made off the desk phone still log against the right CRM record.

Its pricing page opens at "From $0/month" until a buyer enters team size, CRM and features. That personalized pricing ties cost to headcount, with a 20% discount for annual billing through its sales team. The testimonial on the same page credits it with reps no longer missing sales opportunities "due to human mistakes."

What AI call summaries and conversation intelligence add to the bill

AI analytics is the costliest line most buyers add. On CallRail, call summaries and sentiment analysis arrive on Lead Conversion at $150 a month, $100 above Lead Tracking, so the AI tier costs 3 times the entry plan before a single extra minute.

Metered vendors charge by the minute. Transcription costs $0.02 at WhatConverts and Nimbata, $0.024 at CallScaler and $0.04 on Ringba Business. CTM bills $0.02 after its included 3,000 minutes, $0.05 per AskAI summary activity beyond them, and $0.10 a minute for enhanced transcription.

Two vendors gate AI behind a plan. CallRail's $100 step buys ai call summaries for every inbound call, and CTM's $84 step from Marketing Lite to Marketing Pro buys AskAI analysis and a one-time block of 3,000 transcribed minutes.

In the scenario, AI lifts CallRail from $102.50 to $202.50, CTM from $125 to $209, Ringba from $212 to $252, CallScaler from $95 to $119, Nimbata from $85 to $105 and WhatConverts from $70 to $90. Teams that want to gain insights from every customer interaction pay for it on every call.

Real time coaching sits higher again. CTM's Sales Engage at $274 a month adds "dynamic call scripts and live coaching tools" and team performance reporting, and Nimbata scores agent performance with call and agent ratings in the built-in AI insights it runs on every answered call.

Hidden costs: overage, add ons, compliance and integrations

Compliance moves customers up a tier. HIPAA arrives on WhatConverts Pro at $100 a month, $70 above its entry plan, and on CTM Marketing Pro at $149, $84 above Lite. A clinic whose customer data includes patient details pays $840 to $1,008 a year for that line alone.

CRM access for users and sales reps is gated the same way. CTM puts HubSpot on Marketing Pro and Salesforce on Sales Engage at $274, and Nimbata reserves Salesforce, the API and webhooks for its $120 Agency plan. CallRail charges for API volume past 1,500 calls a month, which matters to anyone syncing all the data into a warehouse.

Three more lines catch buyers out:

  • Included minutes that don't renew: CTM's 3,000 transcribed minutes are a one-time allowance per sub-account.
  • Toll-free premiums: Nimbata charges $0.48 per answered toll-free call on Entry, against $0.10 for a local one.
  • Refunds: CallRail's usage fees are nonrefundable, while CallScaler refunds the plan fee inside 30 days and Ringba's FAQ rules out contracts and setup fees.

Overage turns a $50 plan into a $110 invoice, and that's a drop in the bucket next to a large contract's onboarding and professional services, which Vendr's Invoca page lists as billed separately.

What buyers say about call tracking pricing

Customer reviews of call tracking tools carry three complaints: price creep, add-on fees and bills above the signed amount.

Chris Martino, acquisition manager at Point Acquisitions, listed "Pricing keeps increasing" and "Number of included numbers in the plan" as his two CallRail cons on TrustRadius on 30 April 2022. A general manager at a company of 1 to 10 employees wrote on 6 January 2023 that "after the second month that we were charged 3 times the signed-up amount."

Low call volume is the other theme among customers, and a red flag for a business with few inbound calls. A marketing director at an 11 to 50 employee agency, reviewing CTM on TrustRadius, warned that "Clients with low volume of calls may not get enough value for the cost of this platform" (23 January 2021).

The fairest counterpoint came from an administrator at a law practice of 11 to 50 employees, who listed "expensive" as a CallRail con on 3 November 2025 and still answered yes when asked if it delivers good value for the price.

Low cost call tracking: the cheapest setups that still attribute calls

The cheapest option costs $0 for Google Ads calls. Google Ads help says it "doesn't charge advertisers for users who manually dial a Google forwarding number," charging only when the number in the ad is clicked, so manual dials come with no strings attached, and reports call duration, start time, the caller's number and if the call connected.

The markup sits in the minutes. CTM's $0.04 local minute is 4.7 times Twilio's $0.0085 inbound rate, and AvidTrak's $0.07 Starter overage is 8.2 times it. CallRail's $3 number is 2.6 times Twilio's $1.15.

Building on Twilio directly from scratch costs $1.15 per number and $0.0085 per inbound minute, but you'd write the dynamic number insertion script, the dashboard, the caller lookups and the integrations yourself. For most local services businesses, a $30 plan with support and a working dashboard included is the cheaper solution once developer hours count.

How to budget call tracking by team size and call volume

Budget from call volume first, then team size, then features. A one-person business with 5 numbers and under 500 minutes a month fits AvidTrak Starter at $15 or CallRail Lead Tracking at $50 with zero overage.

Agencies pay for client accounts and users. WhatConverts Agency Plus costs $500 a month for unlimited accounts with $250 of usage credit, Nimbata Agency $120 with unlimited seats, and CallScaler Agency $130 with unlimited businesses and users. Carrier rates come from twilio.com, and the Google forwarding number terms from support.google.com.

The Invoca median, range and buyer notes are the header stat block and page text on vendr.com/marketplace/invoca. Buyer quotes come from trustradius.com reviews dated 23 January 2021, 28 May 2021, 1 June 2021, 30 April 2022, 6 January 2023, 3 November 2025 and 6 November 2025.

Invoca publishes no rate card, Salestrail prints no figure until a buyer enters a team size, and the top plans at CTM and Ringba are quoted privately, so the monthly totals above stop at the vendors that print their usage rates.
