Vendr's lowest tracked contract, $7,020, already sits above the $5,040 online plan, so every purchase in its sample was a quoted deal or a larger package.

Qualtrics publishes exactly one paid price. The Strategic Research online plan costs $5,040 a year, billed up front, for 1,000 responses shared across unlimited users, according to the Qualtrics buy-online page checked on 6 October 2026. Everything else, including the Customer Experience and Employee Experience suites that large enterprises buy, goes through a quote.

That quote lands at $30,000 a year for the median buyer across 322 purchases tracked by Vendr, with a spread from $7,020 to $138,884. Duke University's 2025 bill came in at 2.5 times its 2023 license cost. Those figures matter because Qualtrics pricing ties the bill to response volume and headcount, so a budget built on the wrong unit misses by thousands of dollars.

How much does Qualtrics cost

Qualtrics costs $0 on the free plan, $5,040 a year on Strategic Research online, and a quoted figure on everything else. The Qualtrics pricing page carries no dollar amount. It lists three suites, Customer Experience, Employee Experience and Strategy & Research, and states: "You only pay for what you plan to use."

Quoted contracts cluster around $30,000. Vendr's marketplace page labels that figure both the average contract value and what the median buyer spends, from 322 purchases, and lists 211 Qualtrics deals handled. The tracked range runs from $7,020 to $138,884 a year, a price range of roughly 20 to 1. Qualtrics' pricing practices put almost every figure behind a quote, which makes that tracked spread the best public pricing information on quoted contracts.

Read between the lines of the pricing page FAQ and industry matters too: plans "may differ based on industry security requirements and product availability," so compliance rules in healthcare or government can change the Qualtrics pricing a buyer sees for the same volume.

Free account

The free plan, listed as Qualtrics Surveys on the buy-online page, allows 500 total responses, 3 active surveys and 30 questions per survey for one user. It includes 8 question types, skip, display and branch survey logic, basic reporting, and limited styling for creating surveys. That covers a class project with simple logic, and 500 total responses is the ceiling for any customer program run on it.

Qualtrics' own free-tier support article lists tighter limits that fly under the radar: 1 active survey, 100 responses including retaken and deleted ones, and 15 questions per survey. The support article is still useful for its list of features held back for licensed plans:

  • Data exports (reports stay viewable)
  • Workflows, the API, SMS distribution, Stats iQ and the offline app
  • Text iQ, crosstabs and response weighting
  • Quotas, screen-outs, custom themes and survey translations

A trial unlocks the premium features for 30 days, then drops back to the free tier unless someone adds a payment card, per the FAQ on the buy-online page.

Strategic Research, online

$5,040 a year buys 1,000 responses shared across unlimited users, plus unlimited surveys and unlimited questions per survey. Qualtrics advertises it as $420 a month, billed annually. The plan's features add 23 question types including video and audio responses, 20+ guided solutions such as Video Diaries, Conjoint and MaxDiff, generative-AI summaries of video feedback, and dashboards with highlight reels for reporting insights to people outside the project.

Divide the price by the cap and each response costs $5.04. The online plan can't buy extra responses; volume above 1,000 goes to Qualtrics sales as an enterprise contract. A market research group running two 600-person concept tests a year has outgrown it before the second test closes.

Strategic Research, enterprise

Same features, 5,000 or more responses, quote only, for insight teams running continuous studies. It's the smallest quoted tier Qualtrics names on a public page, which makes 5,000 responses the only public pricing information on a quoted contract's volume.

Customer Experience and Employee Experience suites

Both suites are quote-only and include AI features "for an unlimited number of users," per the pricing page. Customer Experience covers AI-guided surveys, contact center dashboards and friction-point analytics across customer feedback programs. Employee Experience covers engagement surveys for employees, manager recommendations, attrition analysis and candidate feedback.

Older contracts carry the module names Qualtrics sold before the three-suite structure. Qualtrics launched CoreXM on 10 October 2019 as the foundation for four specialised lines: CustomerXM, EmployeeXM, ProductXM and BrandXM. CustomerXM's customer feedback programs now sit in Customer Experience, EmployeeXM's employee feedback programs in Employee Experience, and ProductXM's concept testing lines up with the conjoint and MaxDiff tools in Strategy & Research.

Qualtrics' payment-card amendment still lists CoreXM, CoreXM Standard, DesignXM, Research Essentials and Strategic Research, and the packaging update page tells existing customers the change means "New product names, same functionality." A legacy CoreXM renewal gets quoted under the same pricing rules as any research contract, so Vendr's $30,000 median is the nearest tracked figure.

How Qualtrics meters usage: interactions, employees and response volume

An interaction is "a data record collected or/and processed by Qualtrics to deliver XM insights and drive optimal actions," per the pricing page FAQ. Survey responses count as interactions, and so does other experience data the platform processes for analysis.

The devil's in the details: each SKU carries "blended pricing rates based on the interaction types for each product SKU," so the same feedback data can price differently in two suites, and Qualtrics pricing for one program can't be read off another's.

The packaging update page says Customer Experience and Strategy & Research moved to interaction-based pricing, with charges set by the feedback interactions received in the platform. Existing customers get an allocation built from the previous 12 months of response volume, and the renewal quote grants "10% more interactions than that historical usage."

Ten percent of headroom is a drop in the bucket for a growing program. A program that grows response volume by 15% in a year, after adding a new market or a post-purchase questionnaire, runs past its allocation before the term ends.

Employee Experience prices on headcount. A 5,000-person company pays on 5,000 employees even when only part of the workforce answers the engagement survey. Companies with high turnover should ask which headcount date the quote uses, because a figure taken at peak hiring stays on the invoice for the whole term. HR departments buying the suite to drive engagement through quarterly pulse surveys pay the same per-employee rate for one survey a year or twelve.

The arithmetic runs on employees from the first line of the quote, so a program for 2,000 employees and one for 20,000 employees differ by headcount before any feature enters the conversation. Employees who never open a survey still count. HR departments that measure training effectiveness and productivity through employee surveys get the most out of that structure.

What drives a Qualtrics quote up

Four inputs define the size of a Qualtrics quote: the suites and capabilities licensed, the response volume or interaction count, the number of employees for Employee Experience, and the services attached, with compliance needs on top. Define those four before the first call.

Capabilities stack by suite. A buyer that needs survey logic, quotas and basic reporting tools for market research can stay inside Strategy & Research, and marketing teams buying concept tests, conjoint and MaxDiff studies land there too. Buyers who want deeper insights from open-text comments need Text iQ, and statistical analysis needs Stats iQ; the support article lists both among the features the free tier withholds.

Scale is the second lever. Organizations that run customer surveys at scale across web, app and contact center channels are billed for each interaction, so a buyer delivering, say, 50,000 post-purchase questionnaires a year should establish its expected response volume before the first call and evaluate which surveys need Qualtrics at all. Moving low-stakes data collection, such as an event sign-up form, to a free form tool can optimize the interaction budget.

Customization and services come last. Custom themes, survey translations and API access are licensed features, and creating them is part of the setup process two Capterra reviewers below single out for cost. Focus the first contract on the capabilities and surveys that drive decisions. The critical number to agree is the interaction allocation, because every other line depends on it.

Hidden costs: renewal increases, auto-renewal and add-ons

Renewal is where Qualtrics can cost an arm and a leg. Duke University's Office of Information Technology published its renewal terms on 15 July 2024:

"The 2025 annual cost will be roughly 70 percent more than what the University paid in 2024 and 2.5x the license cost from 2023."

Duke's 2024 bill therefore ran about 1.47 times its 2023 license, for a campus that runs its survey data collection and reporting through one contract. The vendor's first proposal "would have amounted to a 6x increase over the life of the contract, relative to 2023." Duke negotiated that to roughly 3x and signed a five-year term running through 31 December 2029.

Card-billed subscriptions renew on their own pricing terms. The amendment to Qualtrics' general terms for payment-card subscriptions says each one shall "automatically renew for an identical subscription for another term by charging the payment card the same amount plus a price increase no greater than five percent (5%)," unless either party gives written notice at least 24 hours before the term ends.

Qualtrics commits to sending price and term details 45 days before the charge.

Quoted contracts keep renewal mechanics in the order form. Qualtrics' renewals support page tells customers to check their agreement "for terms related to your renewal, including any notice periods for changes or non-renewal." A stitch in time saves nine: put the notice date in the calendar on signing day.

Add-ons price outside the platform fee. Answering which plan includes API access on the Qualtrics community forum in May 2024, a level-6 member wrote that "API integration is optional ad-on as well - so it's more about enquiring about cost." Implementation and premium support are the other lines buyers name; two of the Capterra reviewers quoted below flag both as extra services.

What buyers pay in practice

Vendr's tracked median of $30,000 a year is the best public anchor for a quoted Qualtrics contract. Its 11.28% average savings figure shows the first quote moves under negotiation, worth about $3,384 on a $30,000 deal. Treat the median as a pricing data point from one procurement platform's sample.

The University of Georgia's Franklin College announced in February 2025 that departments keeping Qualtrics would join a cost-sharing program from December 2025 at an anticipated "$0.125 per survey response."

UGA picked QuestionPro and Alchemer as replacement survey software, which sent every department with surveys and data built in Qualtrics back to the drawing board. Its $0.125 chargeback is set by the university to recover its own license cost, and it comes to about one-fortieth of the $5.04 per response on the online plan.

What Qualtrics users say about the price

Capterra reviews of Qualtrics' Customer Experience and Strategy & Research products repeat three complaints: the sticker price, the implementation bill, and plan options that don't fit small teams.

Tito P., an enterprise systems coordinator in education, wrote on Capterra in October 2020: "I think the price point is a little high for the value we get out of it." Ryan C., an analytics manager at a 51-200 employee real estate firm, wrote in October 2025: "Could be costly and set up is tedious with a lot of customizations required".

Eduardo L., an administrator in education management, listed "Relatively High cost of implementation" as his main drawback in May 2022, on the same Capterra listing. A retail reviewer put the packaging problem plainly:

"Qualtrics is a high cost tool and it doesn't have many packages to choose from."

How to negotiate a Qualtrics contract

Duke's 6x-to-3x result shows the first renewal proposal is an opening bid. The ball is in your court from the first call, and five levers move the number:

  1. Bring 12 months of response data to the table. The interaction allocation is built from it.
  2. Iron out the details in writing before signing: the interaction allocation, the overage rate and the price of the next block.
  3. Ask for a yearly renewal cap. Qualtrics already writes a 5% cap into card-billed subscriptions.
  4. Collect two competing quotes. UGA's move to QuestionPro and Alchemer is a public example of a buyer leaving over price.
  5. Start renewal talks early; the notice period in the order form can expire before the renewal quote arrives.

The shortest published term is one year: the online plan bills annually, and card-billed plans renew for another term. Review pricing against actual usage every year before renewal; Duke's review cut a 6x proposal in half, and UGA's moved departments to other tools.

A five-year term buys price certainty and puts all your eggs in one basket. Organizations expecting their response volume or headcount to shrink should price a shorter term next to it.

Who Qualtrics pricing is built for

Qualtrics prices for large enterprises and universities with central budgets. Unlimited users on every priced plan reward organizations where hundreds of analysts, managers and insight teams share one license at enterprise scale, and the quoted tiers carry the advanced analytics the free tier withholds, Stats iQ and Text iQ among them, plus reporting across customer and employee data.

Small businesses get the weakest deal. The free plan caps out at 500 responses, and the next step costs $5,040 for 1,000 more, a red flag for any small business on a budget. A 20-person company running one customer survey and one employee pulse a year can find reliable tools with the features it needs for a few hundred dollars, which the alternatives table below prices out.

The fit is strongest in work that needs the advanced analysis: conjoint and MaxDiff studies for product marketing, quantitative data from tracking surveys, and employee experience programs covering thousands of employees that link engagement scores to productivity and attrition. That's where the advanced features earn the price, and where an understanding of the interaction count before the first call saves the most money.

SurveyMonkey charges $0.15 for each response past its annual cap. Fillout's Starter plan, $15 a month on annual billing, includes unlimited seats and is the cheapest form tool in the comparison. Ownership and how it shapes Qualtrics pricing

SAP bought Qualtrics for $8 billion in January 2019, per Jones Day, which advised SAP. Silver Lake and CPP Investments agreed on 12 March 2023 to take the company private for about $12.5 billion at $18.15 a share, a 73% premium to the 30-day average price, and completed the deal on 28 June 2023.

Qualtrics then bought Press Ganey Forsta for $6.75 billion, completed on 18 May 2026 according to Research Live. Press Ganey Forsta works with more than 41,000 healthcare facilities. The Duke and UGA cost increases both date from 2024, the first full calendar year under Silver Lake ownership.
