Insightly is cloud-based CRM software for small and mid-sized businesses, owned since July 2024 by Unbounce, the Vancouver landing-page company. Its homepage calls the Insightly CRM system the "flexible CRM for fast-growing companies." The part of that pitch with a working mechanism is native project management, which converts a won opportunity into a project in the same database.
This Insightly review and its score table use the vendor's own pricing and compare-all-features table, its plan-level limits article and its contract terms, plus 12 verbatim quotes from 9 Insightly CRM reviews on G2 and TrustRadius. Review-site numbers carry caveats, which our reports on G2's moderation and Capterra's verification lay out.
The review walks through what each tier locks, what the extras add to a year-one bill, the 24-hour data-deletion clause and what users report since the merger, then ends with scores for six buying situations. Prices are as listed on 4 October 2026.
The timing matters for businesses comparing other CRMs right now, because a 2026 buyer is evaluating a product mid-change. Insightly capped its AI Copilot in February 2026 and shipped a Command Center in March 2026, while a G2 reviewer from July 2026 calls the CRM product stagnant.

Insightly lets businesses store leads, contacts, organizations, sales opportunities and projects as linked records. Relationship linking connects any record to any other, so one contact can sit on three deals and two projects at once, and customer relationships stay mapped across both without separate project tools.
The sales process runs through a Kanban view of the sales pipeline, where reps drag and drop leads and deals from stage to stage. Insightly lists customizable sales processes on every plan, so stages can match how a team sells.
When a deal closes, Insightly converts the won opportunity into a project with its own tasks to track progress, so the customer journey from first contact to delivery stays in one system. A services firm kills two birds with one stone here, since the CRM and project management share one login and one $29 seat.
A clinic manager who uses it to organize consultation enquiries put it this way:

The other basic features on every plan cover the functionality most businesses expect from CRM software:
- Web-to-lead capture through web forms. The help center has a WordPress walkthrough for embedding one, and each form helps a site turn visitors into more leads without other tools.
- Bidirectional email sync with Gmail and Outlook that can log client communications and meetings to the right record, plus email templates and AI email summaries and replies
- Activity Sets, which Insightly describes as "templates for creating groups of tasks or events," so a rep can create and apply a whole group of tasks to a lead or opportunity at once
- Batch updates that edit many records at once, and custom fields to manage contacts, contact info and organization details
- Google, Microsoft 365, PandaDoc, QuickBooks & Xero integrations
↑ FACT SHEETInsightly pricing and the limit that binds per tier
Insightly pricing covers three CRM plans and bills every one of them annually. The rate card shows no monthly price, so a 5-seat team on Plus commits $1,740 up front. Before selecting a tier, choose by the limit a team will hit first:
- Plus, $29: 50 custom fields, 2 role-based permission profiles and 2 page layouts, with custom objects, webhooks and lead routing held back. The binding limit is usually automation.
- Professional, $49: 25 custom objects, 50 workflow automations, webhooks and AppConnect support. It binds on single sign-on, validation rules and calculated fields, all Enterprise features.
- Enterprise, $99: sandboxes where changes get tested before they go live, 500,000 records, 250 GB of file storage and 100,000 API calls a day. Insightly says these limits can be raised through paid add-ons, per its plan limits page.
Upgrading to Professional is a $20 difference per seat each month, the number to settle for a team on the fence. At $49 a seat, Professional costs more than the entry tiers of Capsule CRM ($18), Folk ($24) and Salesforce Starter Suite ($25). Plus, the lowest plan, covers the CRM basics, including 10 GB of file storage. The higher tier plans earn their price mainly through access to automation and data-model features and unlimited role-based permission profiles in place of 2. Small businesses that need neither get the same core CRM functionality on Plus for $20 less per seat each month.
↑ FACT SHEETHidden costs: onboarding, Premier support and AppConnect
The seat price is the floor, and the devil's in the details on four extras. Each one is published, which earns Insightly its price-transparency score, but none shows up on the CRM plan cards.
- Guided onboarding: Insightly charges $1,500 across five phases from kickoff to go-live. It's optional on CRM plans and required on All-in-One.
- Premier support and success: 20% of the Insightly spend, minimum $3,000 a year. Also required on All-in-One.
- AppConnect: $799 a month for 25,000 tasks or $1,899 for 100,000, plus a $3,000 technical setup fee and $249 per extra 25,000 tasks.
- AI Copilot queries: monthly caps since February 2026, with extra queries for sale once a team hits them.
For a 5-user firm the gap between rate card and invoice is wide, and Premier is the most expensive extra. Professional seats alone cost $2,940 a year. Add guided onboarding and the Premier minimum and the same team pays $7,440. The All-in-One Professional bundle, $899 a month for 5 CRM users, 5 ticketing agents and 10,000 marketing prospects, lands at $15,288 once its two required extras are counted.
Customization carries its own bill as well. A TrustRadius reviewer on the Professional plan wrote in September 2026:
"It is very largely customizable but sometimes those custom pieces or projects require extra cost to program."

↑ FACT SHEETThe 14-day free trial
Insightly offers a 14-day free trial with no credit card on Plus and Professional, and Enterprise buyers talk to sales. The 14 days are the whole evaluation window, since Insightly sells no freemium tier at any size. A trial also caps Copilot at a fixed query count, per the February 2026 release notes, so it's a weak test of the AI assistant.
↑ FACT SHEETContract terms, cancellation and the 24-hour data clause
The terms of service are stricter than the trial suggests. Read them before deciding, because four details decide what leaving costs:
- A subscription renews for the same term unless notice arrives at least 30 days before the renewal date.
- Prices can change on 30 days' notice before a subscription period ends, with no percentage cap written in.
- Early cancellation gets no refund or credit. The refund policy article offers a credit transfer to another account at most.
- Insightly "may delete Your Data from the Services within twenty-four (24) hours" of expiry, and an export copy has to be requested within 10 days before termination.
That last clause is a bitter pill to swallow for anyone whose card lapses unnoticed. A G2 reviewer described the outcome in January 2022:
"Our account expired earlier this month and I lost all data that was housed in this CRM for over 5 years. I have been calling for 3 days straight up to 14 times a day without a single response."

A price change can arrive under the radar, with 30 days' notice and no cap, and the clause has history behind it. A marketing director who had stayed 8 years wrote:

Since February 2026, new users get a Setup page and a checklist on first login that covers syncing email and calendar, importing data and inviting colleagues. Imports take 25,000 rows at a time on Plus and 50,000 on the other two plans.
G2's AI summary counts 7 mentions of a steep learning curve and 5 of time-consuming setup, so hitting the ground running is the exception. One TrustRadius reviewer put a number on it:
"Sometimes Insightly is hard to use but it take a learning curve of a few months to understand the program to a working degree."

The learning curve is the main challenge in those reviews, and advanced features need extra setting up before they pay off. Custom page layouts, workflow rules and routing criteria each take admin time to configure, and the $1,500 guided onboarding exists to bring new users up to speed in five phases.

The tiers split hardest on automation. Plus lists "configurable, automated workflows," while "complete workflow automation," lead assignment and routing, webhooks and custom objects all start at Professional, which allows 50 automations.
Those rules take repetitive tasks off a rep's day. For example, actions can create follow-ups when a deal changes stage, update a status field value or send notifications to the owner. Businesses that skip Professional do those steps by hand for every one of their leads.
Email is thinner. The CRM compare table lists no email sequence builder on any plan. Every CRM plan can send emails from templates to targeted lists of leads and contacts and track them, up to 2,500 a day on Plus, and the option to schedule outbound emails starts on Professional.
Multi-step marketing campaigns, the kind that nurture leads over weeks, run in a separate product, Insightly Marketing's Journey builder, at $99 per account a month for 2,000 prospects. That product counts clicks on links in each email and tracks email opens with a one-pixel image.

↑ FACT SHEETIntegrations, AppConnect and API limits
Insightly's native integrations cover the tech stack most small teams run: the Google and Microsoft 365 productivity suites, PandaDoc, QuickBooks and Xero. Slack, Jira, Shopify, Calendly and ZoomInfo appear among the logos on its homepage, and a native DocuSign connection shipped in 2025.
Custom integrations require a Professional or Enterprise plan, since webhooks and AppConnect support both start there. For integrations beyond the native list, Insightly connects through AppConnect and, on Enterprise, AWS Lambda functions.
AppConnect is a low-code builder with "over 500 pre-built connections" to business apps and other tools that spares a team any coding, though it bills separately from $799 a month. Those third party connectors are the route to tools that lack a native integration.
Insightly offers an open REST API on every plan for additional integrations, capped per day:
- Plus: 40,000 API calls a day
- Professional: 60,000 a day
- Enterprise: 100,000 a day, plus AWS Lambda authoring and execution
Exports carry a quirk that makes a switch more difficult. The same G2 marketing director listed this among his frustrations:

The mobile app runs on iOS and Android on every plan, with business card scanning, voice notes and contact & calendar integration. Google Play shows 3.7 stars from 1.48K reviews and 100K+ downloads, and the App Store shows 4.3 from 293 ratings.
Insightly's 2025 product-update webinar listed a mobile app rebuild on its future roadmap, and the jury's still out on when it ships. Speed and feature parity with the desktop app are the two things a field sales rep should test during the 14-day trial, since the Android app's 3.7 on Google Play sits 0.6 below the App Store score.

Every plan lets users create configurable reports and includes pre-built business dashboards that show sales, leads and project details, and Professional adds customizable dashboards built from real-time insight cards. Scheduled reports cap at 25 on Plus, 100 on Professional and 250 on Enterprise, and those insight cards run 100 on Professional and unlimited on Enterprise.
Teams with complex needs will find the limits fast. The reporting features and reporting functionality draw praise for speed and complaints about depth. G2's AI summary counts 7 mentions of limited customization, mostly in reports. One reviewer gave both sides:
"I also really like the drag‑and‑drop functionality when creating reports, which makes it quick and easy to customize the columns I want to include."

Ease of use comes first for the people praising the product there, and it takes the lion's share of positive mentions in G2's pros and cons summary, 20 against 8 for easy customization and 6 for customer support. A Plus-plan user at an industrial automation company found the interface intuitive and the platform affordable, with features that integrate with Google tools:
"Insightly offers a cost effective, easy to use and comfortable platform. It is easy to understand and has a clear and user-friendly interface. It also integrates well into our Google based systems."

Premier cuts email response to 8 business hours, stretches phone hours to 6 a.m. to 6 p.m. PT, and adds API and integration help. Phone and email are the two channels both plans list. For a team in London, 9 a.m. Pacific is 5 p.m. local time, which makes every call a race against time.

Insightly's security page says the platform holds a SOC 2 Type II attestation, HIPAA compliance for protected health information, and GDPR and CCPA terms in its MSA and data processing addendum. It claims 99.95% uptime every year, with live status on a public status page.
Enterprise functions add SAML & SCIM single sign-on for identity tools such as Okta, one of the homepage integrations, plus field-based permissions and audit logging. Buyers with data-sharing concerns should know that after the merger, Insightly told customers it would share customer data across the Unbounce brands, with an opt-out deadline of September 28, 2024.

Admins should keep an eye on the shared query pool now that Professional and Enterprise carry monthly caps. Gantt charts, a mobile app rebuild and ZoomInfo & NetSuite integrations sat further out on that 2025 roadmap, with a Notion integration targeted for 2026.

Crest Rock Partners announced on July 22, 2024 that its portfolio company Unbounce had merged with Insightly. BetaKit reported a combined staff of more than 200, "some reductions" from redundancies, and Insightly's prior funding of $38 million, last a $25 million Series C in 2016. G2 now lists the vendor as Unbounce.
Unbounce runs two product lines, landing pages and CRM software, and one mid-market consulting customer says the CRM lost out:
"It was great for the first couple of years, but after that we started noticing the company shifting its efforts to other products that didn’t necessarily work for our needs. Meanwhile, the CRM product seemed to remain stagnant, with few new updates and not many helpful improvements."

Folk CRM wins for founder-led sales that live in Gmail and LinkedIn, and for buyers interested in sequences. Folk's Premium seat, $48 a month billed yearly, includes email sequences, which no Insightly CRM tier lists. It loses at entry level, where the $24 Standard seat syncs 1 email account for each of a team's members and holds back sequences, dashboards and API access for Premium.
Attio wins for businesses that want to build their data model from scratch, with custom objects and fields they create themselves. Attio's free plan covers 3 seats, Plus costs $35 billed annually with 250,000 records, and Pro at $79 allows 1,000,000. It loses once a team passes 10 users, the Plus seat cap, which pushes it to Pro.
Salesforce wins for a company that expects to outgrow other CRMs, with Sales Cloud editions running $195 to $550 a seat. For teams that prefer monthly billing, its Starter Suite costs $25 a seat, billed monthly or annually at the same rate. That fact earns the 74 for team fit, and the published rate card, onboarding fee and Premier minimum earn the 80 on price transparency.
It isn't for a solo founder or a buyer who wants an easy exit, for two reasons. Insightly sells no free plan and bills every published rate annually, which holds founder fit to 30. Auto-renewal on 30 days' notice, no refunds and the 24-hour deletion clause score contract flexibility at 22, and the G2 reviewer who lost 5 years of records shows what that clause can cost.
It might suit fast-growing companies ready to pay for Professional, with caveats, and the upgrade makes sense once automation matters. Custom objects, webhooks, 50 workflow automations and the features to create them arrive at $49, which earns feature breadth its 62. Support scores 48 on 24-hour email replies and 9-to-4 Pacific phone hours, and the July 2026 stagnation review is a reason to ask sales for the product roadmap in writing before signing.
