Customer relationship management software runs from a $0 plan to $550 per user/month for Salesforce Max, billed annually. At the bottom sit free plans from HubSpot, Zoho, Capsule and Attio, each capped at two or three users. Between those two ends, the seat price moves 78-fold across 11 vendors.

This report checks 11 CRM platforms against their own pricing pages, all read on 1 October 2026, plus two Vendr contract benchmarks and two market sizings from research houses that disagree by $33.31 billion.

It's written for small business owners moving customer relationships out of a spreadsheet and for sales leads at midsize businesses pricing a switch to a new CRM system. The jump from a vendor's cheapest paid tier to its next one runs from 1.4 times at monday CRM to 14.6 times at HubSpot once the required onboarding fee is counted.

How CRM pricing works, from per-seat to flat-rate and metered credits

Most CRM solutions bill per seat, so the bill for small businesses scales linearly with headcount and business growth. Ten Pipedrive Growth seats at $39 per user/month cost exactly ten times one seat, $4,680 a year on annual billing, per Pipedrive's pricing page.

Flat pricing for small businesses survives at one vendor in this set. Less Annoying CRM sells a single plan at $15 per user/month with unlimited contacts, unlimited pipelines, unlimited custom fields and 25GB of file storage per user.

Metered usage is the newer layer, and AI gets billed through it. HubSpot bundles 500 HubSpot Credits with Starter, 3,000 with Professional & 5,000 with Enterprise. Freshworks charges $49 per 100 sessions for its Freddy AI Agent on every Freshsales plan, and Salesforce's editions include limited Flex Credits with more sold separately.

Some vendors price by customer data stored as well. Capsule caps contacts at 30,000 on Starter, 60,000 on Growth and 120,000 on Advanced. Zoho's free edition stops at 5,000 records, per Zoho's edition comparison.

Minimum seat counts hit small businesses hardest. monday CRM sells seats in buckets of 3, 5, 10, 15, 20, 25, 30, 40 and 50, so a four-person sales team pays for five.

Monthly billing opens the widest gaps in CRM pricing for small businesses. HubSpot's $20 monthly Starter seat costs 2.9 times its annual rate, and Salesforce charges Starter Suite buyers $25 on both cycles.

What free CRM software for small businesses caps

Five of the 11 vendors run free plans for small businesses and small business owners testing a first tool, and each one caps users, records or CRM features. User limits and feature caps are the price of $0, so free plans suit a two- or three-person team managing customer relationships and tracking leads before a paid small business CRM seat:

  • HubSpot CRM Free covers up to 2 users, with HubSpot branding on email, 3 email templates and 10 dashboards of 50 reports each.
  • Zoho CRM Free covers up to 3 users, 5,000 records (10 MB) and 1GB of file storage per organization.
  • Capsule Free covers 2 users, 250 contacts, 5 custom fields and 1 sales pipeline.
  • Attio Free covers up to 3 seats, 3 objects and 50,000 records.
  • Salesforce Free Suite is listed at $0 on the Sales Cloud comparison table.

Capsule's 250-contact ceiling is the tightest of the five. A small business importing a 400-row spreadsheet outgrows it on day one, and the next step is Starter at $18 a seat.

The other six vendors start with a free trial. Pipedrive and monday CRM give 14 days, Folk two weeks, Freshsales 21 days and Less Annoying CRM 30, and Microsoft offers a Dynamics 365 Sales free trial too. Import customer data before day one so the free trial runs on real deals and customer interactions.

Small business CRM costs, vendor by vendor

First paid tiers in this set run from $7 to $65 a seat, and 10 of the 11 sit at $35 or less. Small businesses feel the difference one tier up, so picking the best CRM software comes down to the second tier. Each profile below names the seat price, the limit that forces an upgrade and the fee outside the seat.

Review sites publish a best CRM list every year, G2 now owns Capterra, Software Advice and GetApp, and Software Advice sells leads on a pay-per-lead model. This report prices each vendor from its own rate card.

HubSpot CRM: $7 Starter seat, then $90 plus a $1,500 onboarding fee

HubSpot CRM's free plan covers 2 users with contact management and basic sales tools. Starter costs $7 per seat a month billed annually or $20 paid monthly, and it raises limits to 50 workflows, 15 pipelines and 30 dashboards.

Professional is the cliff. At $90 a seat billed annually, or $100 paid monthly on an annual commitment, plus a required $1,500 onboarding fee, it costs an arm and a leg next to Starter. It brings 300 workflows, 100 pipelines and up to 5 lead scores, a form of predictive analytics for sales & marketing teams. Enterprise starts at $150 a seat plus $3,500 onboarding.

Marketing Hub, HubSpot's marketing automation product, sits on a separate pricing page, so sales alignment with marketing can add a second hub to the invoice.

Salesforce Sales Cloud, six editions from $0 to $550

Salesforce's CRM platform lists six Sales Cloud editions. Free Suite is $0, Starter Suite $25 per user/month billed monthly or annually, Pro Suite $100, Core $195, Advanced $395 and Max $550, the top four billed annually. A 30-day free trial needs no credit card.

Starter Suite covers lead management, sales flows for standard sales processes, lead routing to manage leads and email marketing for a small sales & marketing team. Pro Suite adds quoting and sales forecasting, the first sales performance tools on the ladder.

Salesforce raised Enterprise and Unlimited list prices by an average of 6% on 1 August 2025, two years after Forrester reported an average 9% increase from August 2023. Price rises are par for the course at this end of the market, though the 2025 update left Starter and Pro untouched.

Pipedrive's visual pipeline management from $14

Pipedrive sells visual pipeline management first and the advanced features as upgrades. Lite costs $14 per seat a month billed annually, Growth $39, Premium $59 and Ultimate $79, and Pipedrive says annual billing saves up to 42%. Lite covers lead, calendar and pipeline management and already carries a 14-day free trial and 500+ third-party integrations.

The devil's in the details of the add-ons. LeadBooster starts from $32.50, Projects from $16, Campaigns from $13.33, Web Visitors (customer behavior on your website) from $41 and Smart Docs from $32.50, each priced outside the seat.

Zoho CRM, free for 3 users and $14 to $52 a seat

Zoho CRM charges $14 for Standard, $23 for Professional, $40 for Enterprise and $52 for Ultimate, per user/month billed annually, with local taxes added on top. Standard already includes workflow automation, assignment rules, cadences, reports, dashboards and sales forecasting, and it lifts the customer data cap to 100,000 records.

Professional adds CPQ, inventory management and process automation for $1,080 more a year across 10 seats. Enterprise sells deep customizability at $40, the tier for small businesses that want to automate routine tasks across custom sales processes.

Microsoft Dynamics 365 Sales, sales management at $65 to $150

Microsoft Dynamics 365 Sales is the dearest entry CRM system in the set. Sales Professional costs $65 per user/month paid yearly, Sales Enterprise $105 and Sales Premium $150, with Premium bundling 1,000 Copilot Credits per user a month. Relationship Sales is sold by quote with a 10-seat minimum.

It belongs to the same Dynamics 365 product line as Microsoft's enterprise resource planning apps, Business Central and Finance, for buyers running business operations on that stack.

monday CRM: a 3-seat minimum and a discount stated two ways

monday CRM prices Basic at $12, Standard at $17 and Pro at $28 per seat a month billed annually, or $18, $25 and $41 billed monthly, on monday.com's CRM pricing page. Ultimate, the renamed Enterprise tier, is custom-priced. Its only $0 route is a 14-day free trial.

The page states the annual discount two ways. Its billing toggle reads "Yearly SAVE 33%" and its FAQ says the yearly plan "results in an 18% discount." The toggle hits the nail on the head, since $12 against $18 is a 33% cut. A vendor quoting two figures for one discount is a red flag, and the pricing errors report logged 16 such figures on vendor domains.

Attio, Folk and Capsule, three newer CRM tools from $18 to $80

Attio's CRM platform is free for 3 seats and 50,000 records. Plus costs $35 billed annually or $44 monthly and stops at 10 seats, 5 objects and 250,000 records. Pro costs $79 or $99 with unlimited seats, 12 objects and 1,000,000 records, and the Attio review covers what those objects do for CRM data in practice.

For small businesses, Folk's only $0 route is a two-week trial. Standard costs $24 a member billed annually or $30 monthly, Premium $48 or $60, and Enterprise from $80 or from $100. Those advanced features, dashboards, custom objects, deals, email sequences and API access, all sit on Premium, so a sales & marketing team that wants a pipeline report pays double the entry seat. Less Annoying CRM and Freshsales: $15 flat, or $9 with metered AI

Less Annoying CRM keeps one plan at $15 per user/month, with a 30-day free trial and every feature included. For contact management, task management, email logging and mobile access at one price, it's the simplest bill in the set for customer relationships run by one small team.

Freshsales charges $9, $39 and $59 a user for Growth, Pro and Enterprise billed annually, and $11, $47 and $71 monthly. Branded documents add $19 per user/month and the Freddy AI Agent adds $49 per 100 sessions, so the $9 sticker excludes every metered line.

Ten seats in year one, and the tier that unlocks sales performance reporting

Workflow automation, multiple pipelines and sales performance dashboards usually sit one tier above entry, and those CRM features carry the team productivity case for paying. HubSpot's step from Starter to Professional multiplies a 10-seat bill 14.6 times, the widest jump of the 10 CRM tools charted.

Three vendors land within $600 of each other one tier up. Dynamics 365 Sales Enterprise comes to $12,600, HubSpot Professional to $12,300 with its onboarding fee and Salesforce Pro Suite to $12,000. At entry the same three run from $840 to $7,800, so the cheapest entry seat buys the steepest climb.

monday CRM has the smallest step, $600 a year for 10 seats, and Zoho CRM the second smallest at $1,080. A small business CRM buyer that plans for business growth should bite the bullet and price the second tier against its business needs on day one, because that's the bill it'll be paying by the first renewal.

Hidden costs in CRM solutions outside the seat price

The seat price is the visible line of a small business CRM bill. The total cost of CRM programs adds onboarding, support plans, add-ons, AI usage and renewal increases. AI features sold to boost productivity are metered at three vendors here, HubSpot, Freshworks and Salesforce.

Salesforce's Premier Success plan costs 30% of net license fees, adding $3,600 a year to 10 Pro Suite seats. The Standard plan, with Trailhead training and community access, is included at no charge. HubSpot's onboarding fees land before data migration starts.

Add-ons and integration capabilities priced outside the seat

Integration capabilities, third-party integrations and marketing tools often ship as add-ons for small businesses. Grand View Research puts the 2025 customer relationship management market at $79.6 billion, rising to $161.3 billion by 2033 at a 9.3% CAGR. Fortune Business Insights puts 2025 at $112.91 billion and 2034 at $320.99 billion, a 12.40% CAGR, in a report updated 14 September 2026.
