A Power BI Pro seat costs $14 a month on Microsoft's Power BI pricing page. ThoughtSpot's median buyer pays $100,000 a year, according to Vendr's tracked ThoughtSpot purchases. That one contract would buy 595 Power BI Pro seats for a year.
I checked the pricing pages of 11 business intelligence software vendors on 1 October 2026, priced one 50-user scenario against every published rate card, and pulled implementation and staffing figures from ScienceSoft, Clutch and the US Bureau of Labor Statistics. Every price links to its source, straight from the horse's mouth where a vendor publishes one.
This business intelligence pricing guide is written for finance leads, data team leads and founders setting a first BI budget. The figures matter because software licenses are the smallest line in a BI project, and the total cost of ownership around them decides the budget.

How business intelligence software pricing works
Business intelligence software pricing follows five pricing models, and most BI software vendors mix two of these pricing structures. Each of the pricing models decides which number grows when a team does. Seat plans grow with the user count, capacity plans with data volume, and credits with every refresh and query.
- Per user pricing. Power BI, Tableau, Amazon QuickSight, ThoughtSpot and Looker Studio Pro charge a monthly fee per named seat, from $3 for a QuickSight Reader to $115 for a Tableau Enterprise Creator.
- Capacity and data volume. Qlik prices Standard and above by gigabytes of data for analysis, Zoho Analytics by rows, and Microsoft Fabric by capacity units billed per hour, whatever the volume of data processed.
- Consumption credits. Domo, an analytics platform with unlimited users, bills credits for storing data, updating tables and running workflows, so its bill tracks data processed. ThoughtSpot sells usage at $0.10 per credit.
- Perpetual licenses. SQL Server 2022 Enterprise costs $15,123 per 2-core pack paid once, and Software Assurance on it adds the right to run Power BI Report Server on premises.
- Free plans and open source. Metabase Open Source, the Power BI free account, Looker Studio and Zoho's free plan (2 users, 10,000 rows) cost $0 for self-service analytics at small scale.
Cloud subscriptions spread the cost into recurring costs billed monthly or yearly. A perpetual deployment front-loads it into the initial purchase: Microsoft's SQL Server 2022 price list puts SQL Server Standard at $3,945 per 2-core pack & Enterprise at $15,123, before servers, network hardware and the ongoing maintenance staff who patch them. A later move to the cloud adds a data migration project on top.
Published business intelligence software pricing, vendor by vendor
Seven of the 11 BI tool vendors publish entry-tier prices a buyer can read without a sales call, and Google publishes a price for Looker Studio Pro alone. Published seat prices run from $3 to $115 a month, and published monthly platform fees from $0 to $2,750.
Microsoft Power BI: $14 Pro, $24 Premium Per User
Power BI Pro costs $14 per user per month, paid yearly, and Power BI Premium Per User costs $24. Microsoft announced both in its pricing update post, effective 1 April 2025, and called it the first pricing update since the product launched nearly 10 years earlier.
The old $10 figure hangs on. ScienceSoft's BI software cost calculator still lists Power BI Pro at $10 and Premium at $20, the kind of stale number AI answers repeat, a pattern the software pricing errors study tested across twelve AI answers. A $10 Pro price in any 2026 quote is a red flag.
Each Power BI Pro license caps a semantic model at 1 GB and 8 scheduled refreshes a day. Premium Per User lifts that to 100 GB and 48 refreshes. The Desktop app, Microsoft's Windows user interface for building reports, is free with a free account. Sharing a report needs a paid Pro or PPU seat on both ends, and Microsoft 365 E5 already includes the Pro license. The self-service BI tools ranking scores Microsoft Power BI against nine rivals on fit.
Tableau: $75 to $115 per Creator
Tableau Cloud, Salesforce's visual analytics product, sells three roles in two editions, all on an annual contract, per Tableau's Cloud pricing page. Every deployment needs at least one Creator license.
Standard charges $75 a Creator, $42 an Explorer and $15 a Viewer each month, billed annually. Tableau Enterprise charges $115, $70 and $35 for the same roles and adds advanced features such as Data Management, Advanced Management and up to 10 sites.
Tableau Next starts at $40 a user, and Cloud+ with Tableau Agent sits behind a sales call. The role ladder decides who builds, and a Creator seat that costs an arm and a leg shrinks the number of builders. A Hacker News commenter who championed Tableau at their organization wrote on 27 February 2024 about what the seat price did to adoption:
"Justifying a 4-digit license, per desktop, was the real killer. We just couldn't, so the creation of dashboards became a tool of a "priesthood" of sorts."

Qlik Cloud Analytics: $300 to $2,750 a month
Qlik prices by data volume. Qlik's pricing page lists Starter at $300 a month for 10 users and a fixed 10 GB, Standard at $825 a month for 25 GB with no cost for additional users, and Premium at $2,750 a month for 50 GB. Enterprise starts at 250 GB on a quote. Every tier connects to hundreds of data sources through standard connectors.
ScienceSoft's calculator still quotes Starter at $200, a hundred dollars under today's rate card. Standard adds the ability to work with unstructured data and GenAI, and Premium adds advanced capabilities, including predictive analytics built on automated machine learning, a feature the data mining tools ranking covers in more depth. A buyer who expects structured and unstructured data to grow past 50 GB buys capacity in 25 GB or 250 GB packs.
Google Cloud: Looker Studio at $0, Looker by quote
Looker Studio, Google's free data visualization tool, costs nothing, and Looker Studio Pro costs $9 per user per project per month on Google Cloud's Looker Studio page. Looker itself is a separate BI platform. Google's Looker pricing page sells Standard, Enterprise and Embed editions on annual commitments with a call-sales button. Standard includes 10 Standard users, 2 Developer users and 1,000 query-based API calls a month.
ThoughtSpot, Zoho Analytics, Metabase and Amazon QuickSight
ThoughtSpot Essentials starts at $25 a user per month for 5 to 50 users and 25 million rows, and Pro at $50 for up to 1,000 users and 250 million rows, on ThoughtSpot's pricing page. Its embedded analytics Developer plan is free for a year. The ThoughtSpot review tracks the product itself.
Zoho Analytics lists Basic at EUR 24* a month for 2 users, Standard at EUR 48* for 5 users, Premium at EUR 115* for 15 users and Enterprise at EUR 455* for 50 users, billed annually, on Zoho's pricing page. Rows cap each tier, from 0.5 million on Basic to 50 million on Enterprise.
Metabase Open Source is free and self-hosted, interactive dashboards included. Metabase's pricing page puts Starter at $100 a month with 5 users plus $6 per extra user, Pro at $575 a month with 10 users plus $12 each, and Enterprise from $20,000 a year. Users of embeds count as billed users.
Amazon QuickSight charges $24 an Author and $3 a Reader per month, $40 for Author Pro and $20 for Reader Pro, per AWS's QuickSight pricing. One Pro user switches on a $250 monthly account infrastructure fee.

What 50 users cost in year one at list price
The scenario prices business intelligence software for 10 builders who create interactive reports and 40 business users who read customizable dashboards, billed annually. All the tools with a public rate card land between $4,005 and $30,600 for the year.
Microsoft's total comes to $8,400 because every viewer below an F64 capacity needs a Pro seat. Tableau Standard costs $16,200 (10 Creators at $75, 40 Viewers at $15), and Enterprise $30,600. Qlik Standard runs $9,900 because extra users cost nothing on that tier. ThoughtSpot Essentials comes to $15,000, and 50 users is the tier's ceiling.
Each low figure carries a condition. Metabase Starter at $4,005 bills yearly at $1,080 plus 45 extra users at $65, and Pro for the same team costs $11,410. QuickSight's $4,320 holds only while nobody needs a Pro seat.

What buyers pay for quote-only business intelligence software
Vendr's medians for quote-only BI software sit well above the list scenario, because tracked contracts carry more seats, more data and add-ons. Domo's median buyer pays $50,000 across 91 purchases, Sisense's $56,831 across 126, and Sigma's $64,941 across 154, with an average saving of 25%. Sisense's pricing page offers a Self-Serve plan with a free trial and an Enterprise plan built to spec, and Sigma's pricing page routes buyers to a demo.
Looker's median is $87,521 across 558 purchases, with buyers saving 18%. Tableau's is $29,386 across 734, and Qlik's $43,988 across 50. Read between the lines and the spread inside one vendor beats the spread between vendors. Tableau contracts run from $3,904 to $146,916.
Capacity, data storage and on-premises infrastructure
Infrastructure becomes the lion's share of a BI software bill once viewer counts climb. Azure's Fabric pricing page lists F64 at $8,409.60 a month pay-as-you-go in Central US and $5,002.67 on a one-year reservation, about 41% less. F64 and above lets viewers open reports without a paid license.
That sets a break-even between capacity and user licensing. A reserved F64 costs $60,032 a year, the price of 357 Pro seats at $168 each. A company with 400 readers saves money on capacity, and one with 100 pays a premium for it. The smallest SKU, F2, costs $262.80 a month and doesn't remove the per-seat requirement.
Data storage is cheaper. OneLake hot storage costs $0.023 per GB a month on the same page, so a terabyte of raw data runs about $23.55 a month. On premises, Tableau Server and Power BI Report Server move that line onto servers the buyer owns, maintains and powers.
The cost of implementing business intelligence
ScienceSoft, a BI consultancy, estimates that implementing a business intelligence solution costs $80,000 to $1,000,000 or more on its calculator page. It splits that into a basic BI solution at $80,000 to $200,000, a medium-complexity BI solution at $200,000 to $400,000 and an advanced BI solution at $400,000 to $1,000,000.
ScienceSoft ties implementation costs to the number of data sources, the diversity of user roles, data volume and complexity, data cleansing and AI-powered features. Adding data sources adds connectors, a data model and a data migration step, while integration with other systems and customization to fit business requirements add billable consulting hours.
Clutch's BI and data analytics pricing guide, updated 21 September 2026, says BI & big data consulting projects reviewed on the platform typically cost $10,000 to $49,999. Average consultant rates run $25 to $49 an hour, rising to $100 to $149 in North America. A quick and dirty dashboard build on one source fits that band. A build that pulls multiple data sources into one data model climbs ScienceSoft's complexity tiers.
People costs, the largest recurring expense
Staff outspend business intelligence software costs. The US Bureau of Labor Statistics puts the median wage of data scientists at $120,230 in May 2025, across 275,600 jobs, and projects 35% employment growth from 2025 to 2035. A single analyst on that wage costs 14 times the Microsoft licenses for 50 people, which makes the seats a drop in the bucket.
Kyubit, a BI vendor, models a mid-sized business intelligence solution at an annual total cost of ownership of $250,000 over a 3-to-5-year plan in its BI total cost of ownership breakdown, published 25 August 2025, and puts human resources at 45% of it. That share covers data engineers, data science staff, a data analyst or two, training and administration.
Training is a line of its own. Domo's 30-day trial includes one training session, and Qlik's Premium tier adds guided customer success onboarding. An architect who built BI infrastructure on Tableau, Power BI and Looker wrote on Hacker News on 6 June 2019 about how the rate cards converge:

Recurring costs and limits that raise the total cost
Ongoing expenses sit in the limits each plan puts on software features, and the devil's in the details:
- Pro caps refreshes at 8 a day and models at 1 GB, so near-real-time data driven decision making pushes a team to Premium Per User at $24.
- Qlik Starter fixes data at 10 GB with no extra capacity for sale, so growth forces the jump from $300 to $825 a month.
- ThoughtSpot Essentials stops at 50 users and 25 million rows, and the next tier doubles the seat price to $50.
- Looker Standard includes 1,000 query-based API calls a month, and conversational analytics overage costs $3 per million input tokens and $20 per million output tokens.
- Metabase bills every embed user as a user, which changes the math for embedded analytics in a customer-facing product.
- QuickSight adds a $250 monthly infrastructure fee the moment one account holds a Pro user.
BI software price changes count too. Microsoft's April 2025 increase lifted Pro by 40%, from $10 to $14, after nearly a decade at one price. A three-year budget built on the old number misses $7,200 on 50 seats.
How to set a realistic budget for a BI project
Price a BI solution from the user count and the deployment model up, then add people to reach the total cost of ownership. A 50-user Microsoft rollout costs $25,200 in licenses over three years. Add one Clutch-band consulting project at $10,000 to $49,999 and one analyst at the BLS median for three years, $360,690, and software costs fall under 7% of the total.
For a small team whose business needs fit two or three data sources, entry level plans cover the first year. Metabase Starter costs $1,080 a year for five users and Looker Studio Pro $540, and the Power BI free account handles solo data exploration. Don't put all your eggs in one basket on a free BI tool that can't share reports.
Mid-market buyers with 50 to 400 users land between $8,400 and $60,032 a year on Microsoft alone, depending on the capacity break-even, and a buyer past 357 readers who bites the bullet on an F64 reservation pays less than seat by seat. Enterprise buyers on a quote-only BI platform should bring Vendr's medians to the negotiation, from Tableau's $29,386 to ThoughtSpot's $100,000.
